Roles and responsibilities:
Provides high-level administrative support, including hospitality, communication, coordination of schedules and events, calendar management, correspondence, responses to routine inquiries, and proactive collection of relevant reference materials as needed;
maintains, transcribes and distributes minutes of meetings;
Provides planning, research, policy, and procedure assistance along with analysis, reporting, or reporting, and carries out specific projects as assigned;
Organizes, stores, archives and maintains records in accordance with the records management policy, providing access to key documents for both employees and volunteers, including coordinating annual transfer and reaching portfolio-related records;
Management of information systems for financial support, including facilitation of approved expenditures, payment of invoices, verification of applications, related correspondence and monitoring of portfolio budgets.
Plans and coordinates all logistics for programs/projects/meetings, including securing up-to-date resources, managing financial support/requests, and assisting participants as needed.
National Indigenous Spiritual Assemblies, which are held every three years, are an important planning exercise for this position;
Provides administrative support to various task/steering groups and committees, including preparation (preparation, review, editing and distribution of written materials) and follow-up, accurate record keeping, coordination and organization of all logistics, agenda alignment and record keeping.
Qualification and experience
Higher education, work experience in an administrative position from 3-5 years;
Understanding and acknowledging the various indigenous communities, their values, beliefs, spirituality, knowledge and traditions;
Well-developed administrative, planning/time management, problem-solving, organizational and follow-up skills, and the ability to multi-task;
Knowledge and experience with the grant process and funding cycles;
Strong skills in working with Microsoft Office applications (Word, Excel, PowerPoint, Access and Outlook), Sharepoint, applications for the Internet and social networks;
