Position Overview (Optical Office Manager)

 

We are seeking a dedicated and experienced Optical Office Manager to support the daily operations and uphold the high standards that define our brand. This role is responsible for coordinating operations across clinical services, optical dispensing, on-site lab support, and customer service functions to ensure a seamless experience for every client. The Manager works closely with opticians, eye care professionals, lab technicians, suppliers, and support staff to maintain efficient workflows, accurate records, and consistent service quality. This position plays a key role in supporting eye examinations, contact lens fittings, eyewear production, and product delivery, while fostering a professional and organized work environment. This role is ideal for an individual who understands the operational side of optical care and is committed to supporting excellence in eye health services, eyewear solutions, and customer experience.

Salary and Benefits

 

  • Salary: $36.60 – $40.00 per hour, based on experience and qualifications

Responsibilities

 

  • Oversee the day-to-day operations ensuring smooth coordination between front desk staff, opticians, optometrists/ophthalmologists, optical laboratories, suppliers, and external service providers.
  • Manage appointment flow, customer files, prescription handling, billing support, and record accuracy to ensure efficient service delivery and positive customer experience.
  • Allocate and coordinate work among reception and support staff, monitor daily workflows, and ensure tasks are completed on time in accordance with established procedures.
  • Maintain and monitor customer records, prescriptions, and insurance-related documentation, ensuring confidentiality, accuracy, and compliance with applicable privacy requirements.
  • Coordinate operational requirements including ordering and tracking supplies, liaising with optical labs and vendors, arranging equipment servicing, coordinating maintenance needs, and supporting point-of-sale and scheduling systems.
  • Liaise with optical laboratories and lens suppliers to track orders, follow up on turnaround times, and support timely delivery of eyewear and corrective lenses.
  • Support operations through expense tracking, budget support activities, and maintenance of records related to vendors, service providers, and operational costs.
  • Monitor stock levels of office and operational supplies, forms, and non-clinical materials to ensure uninterrupted operations.
  • Coordinate operational support for eye examinations and dispensing services, including preparation of customer files, prescriptions, and related documentation to ensure smooth service flow.
  • Monitor and support quality control processes related to eyewear orders, fittings, and documentation accuracy, and escalate operational issues to leadership or optical professionals as required.
  • Prepare operational summaries, internal reports, correspondence, and process guides to support daily operations and internal planning.
  • Coordinate onboarding logistics, training schedules, internal communications, and shift coordination in collaboration with leadership and professional staff.
  • Provide day-to-day guidance to support staff, including workflow coordination, task prioritization, and quality checks of operational and administrative work.
  • Act as the central coordination point between ownership/management, optical professionals, support staff, vendors, and service partners to ensure policies, procedures, and operational instructions are clearly communicated and followed.
  • Perform other related duties as required to support the smooth functioning of business operations.

 

Qualifications & Requirements

 

  • Post-secondary education in business administration, public administration, office management, healthcare administration, or a closely related field (college diploma or university degree) is strongly preferred.
  • Minimum two (2) years of hands-on experience in an optical, healthcare, clinical, or professional service environment, with direct responsibility for coordinating operations, supervising staff, or managing office workflows.
  • Demonstrated ability to lead and coordinate staff schedules, manage daily operational demands, and maintain consistency across front desk, optical services, and support functions.
  • Strong working knowledge of appointment scheduling systems, customer records, insurance documentation, and service coordination, preferably within an optical or healthcare setting.
  • Excellent organizational, communication, and problem-solving skills, with the ability to manage competing priorities in a fast-paced, customer-facing environment.
  • Proven attention to detail and ability to handle confidential records and sensitive customer information with professionalism and discretion.
  • Comfortable coordinating with opticians, eye care professionals, optical laboratories, vendors, and suppliers to support seamless service delivery.
  • Ability to work independently with minimal supervision, while maintaining accountability and consistent adherence to internal procedures and service standards.
  • Availability of working flexible schedules, including weekends, based on operational requirements.
