What We’re Looking For

 

We are seeking an organized, reliable, and proactive Office Manager to oversee the administrative and office operations of our emergency clinic. This role is well suited for someone who thrives in a fast-paced, round-the-clock environment, enjoys leading administrative teams, and takes pride in keeping daily operations running smoothly. The successful candidate will support staff coordination, client service, records management, and overall office functions to ensure the clinic operates efficiently while maintaining high standards of professionalism and service. Availability for a flexible work schedule, including evenings, weekends, and holidays, is required, as the clinic operates 24 hours a day, 7 days a week.

Job Responsibilities

 

  • Manage the daily administrative operations of the veterinary clinic and ensure the office runs smoothly during regular business hours.
  • Coordinate appointment scheduling and clinic calendars for veterinarians and support staff and ensure efficient use of time and resources.
  • Oversee operations, including client intake, invoicing, payments, and responding to general client inquiries.
  • Supervise reception and administrative staff, assign work duties, monitor attendance, and ensure clinic procedures are followed.
  • Assist with recruitment by reviewing resumes, coordinating interview schedules, and supporting onboarding activities for new staff.
  • Train staff on clinic procedures, scheduling systems, billing software, and customer service standards.
  • Maintain and organize client and medical records, ensuring confidentiality and proper handling of sensitive information.
  • Order and manage office supplies, monitor inventory levels, and coordinate with vendors and suppliers.
  • Coordinate office maintenance, equipment servicing, IT support, and other external service providers as required.
  • Track administrative expenses, support basic budgeting tasks, and assist management with cost monitoring.
  • Prepare routine reports, internal documents, correspondence, and administrative summaries as required by clinic management.
  • Address client concerns related to scheduling, billing, or administrative matters and escalate issues when necessary.
  • Support coordination between veterinarians, veterinary technicians, and administrative staff to ensure smooth clinic operations.
  • Ensure compliance with clinic policies, workplace safety practices, and privacy requirements under applicable regulations.
  • Perform other administrative and operational duties as required to support the smooth functioning of the veterinary clinic.

 

Qualifications

 

  • Completion of secondary school.
  • Post secondary education (degree or diploma) in office administration, business administration, or a related field, is preferred.
  • Two to three years of experience in an office or administrative environment, with responsibility for scheduling, coordination, record-keeping, and staff support, is required.
  • Experience in a veterinary clinic or healthcare setting is considered an asset but is not mandatory.
  • Proficiency in office and practice management software, including scheduling systems, CRM or client management tools, billing platforms, and electronic records systems.
  • Strong working knowledge of Microsoft Office and Google Workspace (Word, Excel, Outlook, email, and spreadsheets).
  • Excellent organizational, communication, and time-management skills, with the ability to manage multiple priorities in a fast-paced environment.
  • Ability to work independently, maintain confidentiality, and interact professionally with clients, staff, and external service providers.
